Dear Parent / Carer

We are thrilled to have rolled out our new Breakfast & After School Club Booking System from the Spring Term (January 2019).

We would like to introduce the system to you as “Kids Club HQ”. 

This is an online booking system which provides an easy way to book Contract and Ad-Hoc / One Off sessions here at our Breakfast & After School Club.  It enables Parents / Carers to manage their own accounts and gives methods of payment options such as Parentpay – with a link to the website, Childcare vouchers – with the specific account numbers of each provider for information, Cash, Cheques etc. 

The preferred method of payment is Parentpay and Childcare Vouchers.   Cash and Cheques are only to be used as a one off / last resort.  If you need assistance setting up and using Parentpay, please contact Kate in the Office.

Requesting an Ad-Hoc / One Off Booking

We take bookings outside of a contract (e.g. if our Breakfast & After School Club is not full we will accept one off bookings), you can place a booking with us using this process.

Please log in or register a new account.

You will be asked to choose which days/sessions you would like to book under the “My Bookings” tab.

If we have space on your required day(s) you will be able to select your session.  If we are full on that day you will be unable to select it.

Once you have chosen the days/sessions you would like, you then go through the standard booking process which captures:

1. Parent/carer and Emergency Contact Details

2. Allergy/Medical Conditions/Dietary Requirements and Doctor information

3. Agree to consents

4. Choose payment method

5. Complete booking and then pay


Payment for ad-hoc sessions is required upon booking and your booking will not be valid until full payment is received.

Requesting a Contract

Our Breakfast & After School Club allows parents to reserve the same days and sessions every week, Kids Club HQ treats this as a contract. What this means is that, once agreed between us and the parent / carer, the days that are requested are part of a contract where the children always attend on those days until the contract is ended by us or the parent / carer.

Work through the system, entering emergency contacts, doctor’s details, medical / dietary needs etc… as you go through. 

On the “My Contracts” tab you will be given the opportunity to book the ongoing existing days that you currently attend. 

Once you have completed your contract request, you will receive an email showing you the details of what you have requested.

This request is then visible in the Kid Club HQ administration system where the School will consider and we will “approve” your request and you will receive email confirmation or if the Club is full on the days you require, your contract will be “rejected”. 

Contracts are invoiced in advance, half-termly.  You will receive an email invoice 5 weeks prior to the end of the current half term to pay for the following half of term and payment is required to be paid within 5 days of receipt.
